Description
Staff Assistant
Power Engineers, Inc., is seeking a Staff Assistant for our Power Constructor's Department. This is a full-time position located in our Boston, Massachusetts office. The Staff Assistant is responsible for coordinating office operations and is the point of contact for departmental administrative activities.
Roles and Responsibilities:
Type, edit, and proofread documents and presentations
Schedule and organize meetings
Attend meetings and prepare meeting minutes and action item lists
Make travel arrangements
Assist with onboarding of new staff
Support remote IT team as required in ensuring local computers and equipment are functioning properly
Maintain multiple schedules and calendars across various time zones/offices
All aspects of document control such as transmitting deliverables, logging and tracking incoming and outgoing documents, maintaining and archiving electronic files
Data entry, expense reconciliation
Manage office supplies inventories and petty cash
Maintain stock of office snacks and beverages
Organize and distribute in-coming and out-going mail and packages
Assist in organizing office special events (team lunches, holiday parties)
Prepare client work packages (printing and folding)
Interact with other offices and clients via telephone/virtual as well as greeting and supporting office visitors
Weekly monitoring of various tender sites for potential opportunities
Upload all invoices received for payment by Accounts Payable into company ERP program
Assist with local Health, Safety, and Environment committees with safety programs, including ordering Safety supplies and preparation for annual safety audits
Required Education/Experience
College Business Administration Diploma preferred
High School diploma required
Proficiency in MS Word, PowerPoint, Outlook, Teams and Excel, Onedrive, OneNote, Sharepoint
Familiarity with other office programs such as Bluebeam, ProjectWise, SmartSheet, Microsoft Dynamics, Oracle, and Visio
Strong familiarity with a wide range of office equipment – printers, audiovisual, conference phones
Strong organization and customer service skills emphasizing attention to detail
5+ 3+ years previous experience in administrative support or clerical role is preferred
Must be able to multi-task and thrive in a fast-paced, high-energy environment
State driver’s Class 5 license with a vehicle to utilize for local travel to execute tasks. Mileage will be reimbursed
