​Facilities Executive Administrative Assistant

POWER Engineers, Inc. Facilities Division seeks an Executive Administrative Assistant in our Boise, Idaho office. Are you organized, detail-oriented, self-motivated and professional? Do you have experience supporting senior management in a fast-paced, dynamic office environment? Our ideal candidate is skilled in anticipating the needs of others, demonstrates expert time management and prioritization of tasks, and is responsive, working quickly and effectively with a variety of stakeholders from throughout the organization. This position would report directly to the Facilities Project Controls Department manager and provide dedicated support to two Business Unit Directors.

Key Responsibilities include, but are not limited to:

  • Provide high-level, dedicated, confidential administrative support to two Business Unit Directors (senior division leadership). This would include supporting all administrative tasks including answering phones, managing calendars and email, and coordinating travel arrangements, including expense reports.

  • Work and interact closely with assigned Business Unit Directors to understand, intuit and anticipate needs, challenges and solutions.

  • Compose and finalize complex correspondence, presentations, documents, reports, and other business documents, while positively representing POWER’s brand and culture.

  • Prepare ongoing and special reports; this will include obtaining necessary data and information from various sources.

  • Interact with all levels of the organization and interface with external clients, where needed.

  • Organize/track division recruiting efforts. This would include working with HR to update position descriptions and identify alternative recruiting methods/venues.

  • Manage social media presence for Business Unit Directors.

  • Support Business Unit Directors in CRM/BD tracking and coordination efforts.

  • Coordinate and drive initiatives related to quality, production efficiency, training, etc.

Required Education/Experience

  • ​5+ years’ experience providing high level secretarial and administrative support in a senior executive environment

  • Advanced Microsoft Office skills (Word, Excel, PowerPoint and OneNote)

  • Excellent oral and written communication skills

  • Superior organization and planning skills

Desired Education/Experience

  • Bachelor’s degree in English, communications and journalism

  • Must be a self-starter, highly organized, and familiar with all key concepts, practices, and procedures of office administration

  • Ability to handle confidential material with absolute discretion

  • Significant customer service experience, utilizing strong inter-personal skills

  • Considerable experience managing multiple high-level priorities simultaneously

  • Must be flexible and able to prioritize work assignments for multiple people and yourself while remaining detail oriented

  • Thorough knowledge of technical and business vocabulary

  • Experience working in and reporting from common business systems (Oracle, Deltek, Taleo, or similar)

  • Familiar with the architecture/engineering industry

  • Positive disposition and friendly demeanor
